What it’s like to work with Systems Haus
Systems Haus operates with structure, clarity, and intention.
Our process is designed to remove pressure from business owners and leadership teams, not add to it.
Every engagement follows a clear, phased approach to ensure systems are designed correctly, implemented practically, and adopted by the people using them day to day.
Engagements are audit led and delivered through a hybrid model. Where operational complexity requires, Systems Haus conducts structured on site operational audits to observe how work actually flows before design begins. Design and implementation are then delivered through a combination of in person collaboration and remote build.
Our Process
Systems Haus engagements follow a structured, staged process designed to ensure clarity, fit, and accurate scoping before any long-term work begins.
-
Every engagement begins with a short introductory conversation.
This call is designed to:
Understand where your business is at operationally
Identify key pressure points and constraints
Confirm whether Systems Haus is the right fit for your needs
This is not a diagnostic or consulting session.
It’s a clarity and alignment conversation to ensure expectations are realistic on both sides before progressing. If there is mutual alignment, we’ll recommend the next structured step.
-
(by invitation)
For businesses progressing beyond the intro call, Systems Haus conducts a structured Operational Scoping Session.
This session allows us to move beyond high level discussion and properly assess:
Operational complexity and constraints
How work currently flows across the business
Readiness for Groundwork, Systems Suite, or a formal audit
Whether scope can be confirmed directly or requires a paid Operational Audit
This session is not an implementation phase.
It exists to ensure any proposal issued is accurate, realistic, and aligned to how your business actually operates.Following this session, Systems Haus will either:
Confirm scope and issue a fixed proposal for Groundwork or Systems Suite, or
Prepare a Pre Audit Proposal outlining recommended audit scope, indicative investment, and timeframe ranges for more complex engagements
Where appropriate, key team members or managers may be invited to contribute practical insight into how work currently flows, ensuring scope and recommendations reflect operational reality.
-
Operational Audits are conducted on site to observe how work genuinely flows across teams, roles, and systems. Duration varies depending on operational size and complexity.
———
For complex operational environments, accurate scoping cannot be completed through conversation alone.
Where required, a paid Operational Audit is conducted to:
Map how work actually flows across teams and systems
Identify risks, inefficiencies, and dependencies
Confirm sequencing and scope boundaries
Determine the appropriate delivery pathway
At the conclusion of the audit, you receive:
A clear diagnosis of your current operational state
A prioritised improvement roadmap
A fixed scope implementation proposal
———
Should you choose not to proceed, audit findings remain yours to retain and use internally.
If you proceed within the agreed timeframe, the audit fee is credited against the implementation investment. -
Design and build is delivered through a hybrid model, combining on site collaboration where required with structured remote build to ensure systems reflect operational reality while remaining efficient.
———
Once scope is confirmed, Systems Haus takes ownership of the design and build phase.
This includes:
Designing operational infrastructure aligned to your people, capacity, and compliance requirements
Building workflows, documentation, and systems intentionally, not reactively
Ensuring structure exists before tooling or automation is applied
This phase focuses on creating systems that work in practice, not theory.
-
Systems are implemented directly into the business and embedded with your team.
This phase focuses on:
Adoption, not perfection
Clear ownership and responsibility
Training and walkthroughs to support independence
The end result is a business that operates with clarity, consistency, and reduced reliance on directors.
-
Once systems are live, Systems Haus supports a structured stabilisation period to ensure adoption is consistent and early friction is resolved.
This phase includes:
• Validating systems are being used correctly
• Identifying and addressing resistance or breakdown
• Confirming clear internal ownership
• Structured follow up checkpointsThe goal is not documentation sitting unused, but systems operating confidently.
This structured approach ensures:
Systems are built in the right sequence
Directors are removed from day to day operational problem solving
Teams have clarity around ownership and execution
Compliance and governance are considered early
Systems remain usable and sustainable over time
It’s a process designed to replace individual reliance with operational structure.
What this process delivers
A structured, low friction partnership
Systems Haus works best with businesses that value clarity, accountability, long term operational stability and are ready for execution, not just advice.
If your operations feel reactive, inconsistent, or overly reliant on you, the first step is a short introductory conversation. This allows us to understand your environment, confirm fit, and outline the most appropriate pathway forward.
